Privacy Policy for Stronghold

This Privacy Policy explains how Stronghold (“the Bot”) handles user data.

1. Information We Collect

The Bot may collect and store:

• Discord user IDs
• Discord server IDs
• Command usage data (e.g. which commands are run)
• Attachment URLs provided by users to certain commands (used to reference media within a guild)
• Roblox user IDs provided by users for account linking and Bot-related features
• Text input submitted by users through Discord modals for use in Bot features

Text input collected through Discord modals is used for the specific feature it was submitted for and is not processed beyond that purpose.

We do not collect message contents unless explicitly required for a feature.

The Bot stores an internal list of Discord guilds it is in, including relevant identifiers such as role IDs, channel IDs, and guild owner ID, and whether the guild is setup within the database, for debugging and configuration purposes.

The Bot operates on the Discord platform and processes data provided through Discord’s services.

2. How We Use Information

Collected data is used to:

• Provide and improve the Bot’s features
• Maintain stability and prevent abuse
• Support features such as points, ranks, and permissions

We do not intentionally collect personally identifiable information beyond what is required for the Bot’s functionality.

3. Data Storage and Security

• Data is stored securely in a MySQL HeatWave database, hosted on Oracle Cloud, provided and encrypted by Oracle.
• No data is shared with third parties unless required by law.
• The Bot does not use personal data for advertising or tracking purposes. Advertisements are non-personalised and may only be shown based on guild-level configuration.
• If the Bot is removed from a guild, or if the guild is deleted, all data associated with the guild is deleted after 21 days. The deletion process recurs on a one-day interval. Persistent data is retained only while required for the Bot’s functionality and is periodically reviewed for deletion when no longer needed. Temporary, cached data is deleted upon periodic restarts of the Bot (on a daily basis).
• We implement appropriate technical and organisational measures, including encryption in transit and secure storage practices, to protect user data.

4. Advertisements and Third-Party Content

• The Bot may display or distribute advertisements or promotional content from third parties. These advertisements are manually reviewed but are not owned or operated by the Bot.
• We do not guarantee the accuracy, safety, or reliability of any third-party content, services, or websites linked through advertisements. Any interactions, transactions, or engagements with third parties are solely between the user and the third party.
• Advertisements may be displayed based on guild-level configuration (such as a designated “main game”) to ensure relevance to the community. This form of contextual display is not based on individual user data, behaviour, or personal information.
• By interacting with third-party content, you acknowledge that you do so at your own discretion and risk.
